Under the direct supervision of the Registrar and overall guidance of the Director, the incumbent
shall perform the following duties;
1) Ensure efficient and cost effective management of all spaces and facilities;
2) Design, plan, manage and maintain all areas of campus, to an agreed standard, that is
conducive to excellence in learning and teaching;
3) Provide effective leadership to the facility team by taking responsibility for financial and
project management;
4) Plans, organizes, coordinates and directs all activities and personnel engaged in maintaining
and operating the facility;
5) Schedule, plan, organize and manage staff responsible for maintenance, repair, and upkeep
of buildings and facilities;
6) Manage, supervise, schedule, and train all staff. All staff should remain in compliance with
applicable university policies and regulations (i.e. work hours, leave slips, time sheets,
employee handbook;
7) Prioritize organizational needs, complaints, work orders, coordinating with other
departments to schedule a time frame for completion and scheduling work assignments;
8) Collect and maintain all necessary documentation prior to event (catering, insurance,
contracts, deposits, etc.);
9) Ensure compliance with applicable codes, laws, rules, regulations, standards, policies and
procedures;
10) Ensure health and safety obligations are complied with by facility staff and independent
contractors.
11) Point of contact for internal and external groups using facility; display excellent verbal and
written communication skills (high energy, very presentable, outgoing, responsible);
12) Manage contracts for maintenance services provided by outside vendors if required;
13) Coordinate projects and work activities with other departments, contractors, consultant,
outside agencies, or others as needed;
14) Resolve construction related problems, disputes and compliance issues;
15) Coordinate procurement of equipment, supplies and materials to perform required duties
effectively and efficiently;
16) Prepare and complete various forms, reports, correspondence, purchase orders, budget
documents, plans, records and presentations;
17) Promotes the use of the facility to maximize its utilization;
18) Negotiates rental agreements as determined necessary and in the best interests of the
university;
19) Read and interpret construction drawings, blueprints, codes and specs;
20) Establishes and maintains effective working relationships with government departments and
agencies and other academic institutes;
21) Assures the coordination, implementation and administration of specific plans and programs
prescribed by university directives, to include: matters of training and development; quality
assurance; energy efficiency; safety/emergency procedures, crowd control and crisis
management procedures, or other areas as needed;
22) Ensure financial management of the facilities annual operating budget including compliance
with financial delegations;
23) Manage major and minor building projects;
24) Ensure proper lighting, electricity, ventilation, air-conditioning etc. in all parts of the
campus;
25) Ensure highline and cleanliness in the entire campus;
26) Ensure efficient and effective Garden maintenance, and Services like Canteen, Cafeteria,
Gymnasium, Security and House Keeping;
27) Receive ordered goods and materials, stores management, transport management, mail,
courier and stationery ordering functions;
28) Other duties as assigned by the University authorities.
